Marketing and Publicity
Create publicity material, work on emails and teasers, contact other organizations, and set up meetings to go over HCH details.
Exhibit
Design layouts and materials to appropriately showcase the life and teachings of Pujya Gurudev, including grassroots activities, camps, and discourses.
Children's Activities and Fun Area
Organize hands-on activities, games, and relay races related to Hanuman ji.
Outreach & Promotion
Spread the word across temples, community groups and social networks to bring more families together.
Media & Photography
Document the sacred day through photography, videography, and social media coverage.
Decoration
Decorate the stage, activity area, and other event spaces as needed.
Havan Kund
Make and set up the necessary Havan Kunds (using guidelines and video by Swami Swatmananda ji). Purchase and transport the required materials. Dismantle and clean up the Havan Kunds after the event.
Havan Ushers and Guides
On the day of the event, assign one person per kund to facilitate the havan.
Puja and Havan on Stage
Work with Swami jis for the main stage puja for Hanuman ji. Set up the main altar on stage. Purchase the required samagri for the stage and other havans.
Gifts and Yajman Prasad
Decide, purchase, and assemble the Prasad bags
Food Stalls
Coordinate with local restaurants and/or food trucks to manage food offerings at the event
General Ushers
During the havan, direct participants
Registration, Accounting, and Check-in
Manage online registration, payments, accounting, and wristband distribution; oversee the check-in process, Information Booth, Lost & Found
NON Food Vendor Coordination
Work with stalls/vendors for ethnic wear, jewelry, and other merchandise.
Souvenir Book
Compile and design the souvenir book for the event.
Discourses with Swami Swaroopananda ji
Support event logistics for discourses led by Swamiji.
